1. Who we are and scope of this policy
This policy applies to Modern Pharmacy & Clinic, Teenpool, Patagora Road, Islampur, Uttar Dinajpur, West Bengal – 733202, and to information handled through www.moderngroup.online, our appointment system and our official WhatsApp Business number.
2. Information we collect
Depending on how you use our services, we may collect:
- Identity and contact data: name, mobile/WhatsApp number and information you provide when contacting us.
- Appointment and patient information: preferred appointment date and time, reason for visit, booking status, payment status and other information you choose to share for an appointment or enquiry.
- WhatsApp communication data: message content, message and delivery status, timestamps, WhatsApp identifiers, profile name where made available, and records needed to respond to or manage a conversation.
- Transaction data: payment reference, amount, date, status, refund status and related booking reference. We do not receive or store your full card number, CVV, UPI PIN or online-banking password.
- Technical data: basic device, browser, IP address, security and server-log information that may be processed automatically when you access the website.
3. WhatsApp Business Platform and Meta data
We use the WhatsApp Business Platform (WhatsApp Business API), a service provided by Meta, to receive messages, answer enquiries, offer available appointment slots, manage bookings and send service messages such as reservation, payment and appointment confirmations.
When you communicate with us on WhatsApp, Meta may process your information under its own terms and privacy policy. Our authorised systems and service providers may process the conversation data required to operate the requested service. We do not use WhatsApp or Facebook user data for unrelated advertising, profiling, sale or data-broker activities.
4. Appointment and patient information
We use appointment and patient information only to arrange and administer care, communicate with you, provide clinic or pharmacy support and maintain appropriate operational records. Please provide only information relevant to your appointment or enquiry. Our website and chatbot are not emergency services; seek immediate local medical assistance in an emergency.
5. Purpose and lawful use
We process personal information only where reasonably necessary and permitted by applicable law, including:
- to take steps at your request and provide the appointment, clinic or pharmacy service you ask for;
- with your consent, including when you voluntarily send information or opt to communicate through WhatsApp;
- for legitimate operational interests such as securing the service, preventing fraud, resolving support issues and improving reliability, where those interests do not override your rights; and
- to comply with legal, regulatory, accounting or medical record-keeping obligations.
Where sensitive or health-related information requires consent or another specific legal basis, we handle it only for the relevant care or service purpose and as permitted by law.
6. How we share information
We do not sell or rent personal information. We may share limited information with authorised personnel and service providers only as needed to operate the service, including website hosting, database and security providers, Meta/WhatsApp for business messaging, and Razorpay or other payment processors for payment processing. These providers process data under their own terms and/or our instructions, as applicable.
We may also disclose information when required by law, court order or a lawful government request; to protect patients, users, our rights or service security; or in connection with a legitimate business reorganisation subject to appropriate safeguards.
7. Payment data handling
Online payments are processed through Razorpay’s secure payment service. Payment credentials are entered into the payment provider’s interface and are not stored by our website. We retain only the limited transaction and payment-status information needed to confirm an appointment, issue or track a refund, reconcile records, prevent fraud and meet legal or accounting requirements.
8. Data retention
We keep personal information only for as long as necessary for the purposes described in this policy. Retention periods depend on the type of information and may include the time needed to complete an appointment, provide follow-up support, maintain legally required patient or financial records, resolve disputes and protect the service. When information is no longer required, we delete, anonymise or securely restrict it, subject to backups and legal retention duties.
9. Security
We use reasonable administrative, technical and organisational safeguards designed to protect information against unauthorised access, loss, misuse, alteration or disclosure. These include access controls, secure hosting and encrypted network connections where supported. No internet or messaging service can be guaranteed completely secure, so please avoid sending unnecessary sensitive information through open messages.
10. Your rights and choices
Subject to applicable law and necessary identity verification, you may ask us to:
- confirm whether we hold your personal information and provide access to it;
- correct inaccurate or incomplete information;
- delete information that is no longer required or withdraw consent where processing relies on consent;
- restrict or object to certain processing; or
- provide information about how your request was handled.
Some requests may be limited where retention is required for medical, legal, fraud-prevention, security or accounting purposes. You may stop WhatsApp messages by asking us to stop or by blocking our business number in WhatsApp.
11. Meta/Facebook and WhatsApp user-data deletion
If you have communicated with Modern Pharmacy & Clinic through WhatsApp, Facebook or another Meta service and want the associated data deleted, follow these steps:
- Send a WhatsApp message to +91 70014 41880 with the words “Data deletion request”, or call the same number.
- Include the mobile number used for the appointment or Meta/WhatsApp interaction and enough information to identify the relevant record. Do not send passwords, OTPs, PINs or full payment-card details.
- We may ask you to verify control of the number or otherwise confirm your identity before acting on the request.
After verification, we will delete or anonymise data controlled by us that is not required for legal, medical, security, fraud-prevention or accounting purposes. We aim to acknowledge requests promptly and complete eligible deletion requests within 30 days. Data separately controlled by Meta must be managed through the privacy and account controls provided by Facebook or WhatsApp.
12. Children’s and minors’ information
Information about a minor should be provided by, or with the involvement of, a parent or lawful guardian where appropriate. If you believe a minor’s information was provided without appropriate authority, contact us so we can review it.
13. Third-party links and services
Our website may link to services operated by Meta/WhatsApp, Razorpay, Google Maps, Google Reviews or eVitalRx. Their collection and use of information are governed by their own privacy notices. We encourage you to review those notices before using the services.
14. Changes to this policy
We may update this Privacy Policy when our services, technology, providers or legal obligations change. The current version and effective date will always be published on this page.
